Records and By-Law Coordinator
CLERK’S DEPARTMENT

Position Summary:
The successful candidate will be responsible for providing technical and clerical support in the development, coordination, training and maintenance of a Town wide records management program. Additionally, within the Bylaw Department, responsible for scheduling and assigning hours of work for Municipal By-law Enforcement Officers; preparation of documents required for municipal prosecutions including administration of summons, crown briefs and court attendance; transcribing of Officers notes; maintaining records both physically and electronically; and, customer service duties with respect to bylaw inquires and complaints.
 
QUALIFICATIONS:
1. Possess a College Diploma or equivalent from an accredited college or business school with course work in public administration, law clerk, business administration, records management, library studies. Bachelor’s degree is desirable.
2. A minimum of three (3) years experience in law enforcement, prosecutions and/or records management including classification and retention scheduling, preferably in a municipal environment.
3. Working knowledge of applicable federal, provincial and municipal laws and rules of procedure related to prosecutions, court proceedings, records management including inventory and retention to ensure regulatory compliance. Knowledge of the use of legal descriptions for record management purposes.
4. Ability to deal effectively and courteously with the public, staff and external agencies and ability to work in a team environment.
5. Ability to demonstrate tact and discretion in handling matters of a confidential nature, and to maintain confidentiality. Familiarity with the Municipal Freedom of Information & Protection of Privacy Act. Ability to cope with a high level of interruptions, exercise discretion and good judgment.
6. Excellent organizational, time management, communication and interpersonal skills, and the ability to deal effectively with conflict.
7. Working knowledge of Microsoft Windows and Office applications, By-Law and administrative software i.e. CityView, Ticket Processor and The Ontario Municipal Records Management System (TOMRMS).
9 Ability and willingness to travel within the community and out of town as required. Possess first Aid / CPR and Criminal Sector Check with results satisfactory to the Town.
