Hours of Work: Normal hours of work are twenty-four (24) hours per week, usually Monday through Friday. Shift schedules will vary, with start and end times usually between the hours of 8:30 a.m. to 4:30 p.m.

The Opportunity
Reporting to the Manager of Accountability, Procurement and Risk Management, the Administrative Assistant, Legislative Services provides support to both the Accountability, Procurement & Risk Management and the Legislative Services Divisions. Accountability, Procurement & Risk Management division responsibilities include but are not limited to assisting with calendar management, drafting of various documents, assist in the administration of the lobbyist registry program, administration of claims, and the ordering of supplies. Legislative Services division responsibilities include but are not limited to assisting with vital statistics, assist in the preparation of marriage ceremonies, respond to general enquiries received within Legislative Services, updating information provided on the municipal website, assist with filing and indexing of corporate records, ordering office supplies, and assist with the municipal election as required. The position also provides Police Service Board administrative support to the Staff Resource including but not limited to assistance with research and policy development, Board compliance objectives, meeting preparation and follow-up, training and conference coordination. The main duties and responsibilities of the position are in the areas of Accountability, Procurement & Risk Management functions, Legislative Services functions, and Police Services Board support.
The preferred candidate possesses the following:
Knowledge, Skills, and Experience:
- Post-Secondary education, including business, office administration and computer courses.
- Two (2) years of related administration experience, preferably in a municipal environment.
- Demonstrated knowledge of local government functions/responsibilities, and procurement processes.
- Excellent administrative skills including communication, organizational, time management, analytical, problem-solving, research, report and policy writing, minute taking and public relations skills, together with the ability to use tact and discretion and to deal courteously and effectively with the public and fellow staff members.
- Ability to multi-task, cope with interruptions and work under pressure to meet multiple deadlines, exercise discretion and good judgment particularly when handling highly confidential/sensitive information. Possess a high level of initiative and personal integrity.
- Thorough working knowledge of Windows and Microsoft Office applications, database management and office equipment. Knowledge of TOMRMS an asset.
- Possess a current Criminal Record & Judicial Matters Check (Level 2) with results satisfactory to the employer, and a valid standard first aid & CPR/AED Level C certification (or willing to obtain).
